The Challenge

A global professional body that certifies specialists in risk and compliance needed the new edition of its core reference manual in Japanese. Candidates study the manual to qualify, so its terminology has to be accurate, consistent and familiar to practitioners in Japan. An earlier edition had been translated years before, and that legacy material needed to be carried forward wherever it remained valid. The body's own colleagues in Japan wanted to review every section, so the delivery plan had to fit their capacity. A programme of this size and duration also called for predictable milestones, clear change control and a single accountable supplier.

The Solution

Guildhawk opened with a structured preparatory phase and then planned delivery around the client's reviewers.

• Guildhawk used earlier English and Japanese editions of the manual and examination, working with professional Japanese linguists to build translation memory, client-specific glossaries and a style guide that were maintained throughout the programme.
• The client's team received access to GAI Translate, Guildhawk's secure AI translation platform, and groundwork began on a custom small language model trained on the client's own approved content, with expert linguists translating and verifying the output.
• Translations are handed over as bilingual files with source and target side by side, reviewers in Japan add tracked changes, and Guildhawk assesses and implements each change before a final format check.
• The work was structured into seven milestones under a service-level agreement, with agreed rules for reviewer changes that conflict with established terminology and regular touchpoint meetings throughout.

The Results

The programme's foundations were delivered to schedule.

• The preparatory milestone (file preparation, glossary creation, content alignment, translation memory creation and model training) was completed on its scheduled date.
• The remaining manual content was sequenced into six translation deliveries over roughly four and a half months, so reviewers in Japan could work through manageable batches.

Why this matters for certification bodies entering Asian markets

For a certification body, a translated reference manual forms part of the qualification itself. Candidates are examined on its terminology, so any drift between the manual, the examination and later editions puts fairness and the credential's standing at risk. Large programmes also stall when in-country reviewers are overloaded, or when late changes contradict decisions made months earlier.
